ISO 10244:2010 specifies the detailed information associated with the activities organizations perform when documenting existing work or business processes (business process baselining), defining the level of information required to be gathered, methods of documenting the work or business processes, and the procedures used when evaluating or analyzing the work - business processes. ISO 10244:2010 provides tools for organizations to identify relevant aspects of work - business processes and to document them in a standardized format, thus permitting them to facilitate detailed analysis and identification of relevant technology(ies) so as to improve the processes or procedures.
Abstract
Overview
ISO 10244:2010 - Document management - Business process baselining and analysis - provides a standardized framework for documenting existing work and business processes (process baselining) and for analysing those processes to identify where technology (EDMS/ECM) or non-technology changes will add value. The standard defines the level of detail to collect, recommended documentation methods, and procedures for process evaluation so organizations can make informed decisions about process improvement and technology selection.
Key Topics and Requirements
- Process baselining: Define and document information flows through discrete activities; a detailed baseline must capture inputs, processing steps and outputs for each process or activity.
- Information gathering preparation: Identify organizational goals, select participants, estimate time required and review existing process documentation and metrics.
- Roles and stakeholders: Typical participants include champion users (lead users), management, and records coordinators/records managers; their involvement supports accuracy and change management.
- Process analyst selection: Choose an analyst familiar with the organization, the enabling technologies, or both; impartial analysts can reduce bias in analysis.
- Schematic development: Produce a top‑down work process schematic with high‑level and detailed views. Detailed schematics should permit technical and non‑technical reviewers to validate activities, decision points, exception handling and escalation paths.
- Visual notation: Use icons/graphical elements to differentiate tasks, processes and sub‑processes and show linkages between activities.
- Analysis procedures: Provide mechanisms for user review, surface exceptions and workarounds without fear of reprisal, and begin change management during baselining.
- Normative references: ISO 12651 (electronic imaging - vocabulary) is cited for related terminology.
Applications and Who Uses It
ISO 10244:2010 is practical for:
- Business analysts and process analysts documenting workflows for technology evaluation.
- IT and enterprise architects selecting or specifying EDMS/ECM solutions.
- Records managers and compliance officers defining document handling, indexing and retention rules.
- Project sponsors and management overseeing digital transformation and process improvement initiatives.
Benefits include clearer requirements for vendors, reduced rework during EDMS implementations, improved alignment between business goals and technology, and structured change management.
